Just Mind is currently hiring a full-time Client Care Coordinator to handle new client intakes and scheduling coordination for our large group counseling practice in Austin. We are looking for a highly organized and efficient worker with excellent communication skills to work as part of our Client Care team during Monday through Friday business hours. The role may be mostly remote combined with 1 to 2 days in the office, and you must reside in the Austin area.

What the Client Care Coordinator Does

The Client Care Coordinator is the first person most new clients talk to. You respond to new inquiries through our CRM, handle live phone calls throughout the day, and schedule initial appointments for 45+ therapists. That means assessing what a caller needs and matching them with a therapist who is a good fit, then explaining our services, procedures, billing options, and how the counseling process works. You also stay in close contact with our therapists so you know their specialization areas, preferences, and therapeutic approaches.

Qualified applicants should be equipped for the following skills/tasks:

  • Respond to new client inquiries in a quick and timely manner utilizing our customer relations management (CRM) system
  • Communicate with clients in a manner that is respectful, rapport-building, and sensitive
  • Communicate effectively via email, text, and phone, which includes handling live phone calls throughout the day
  • Represent the practice as clients’ first point of contact
  • Schedule initial client appointments for 45+ therapists, assess client needs and clinical issues, and match clients with appropriate fit therapists
  • Communicate clear information to clients about different services, procedures, billing options, and the counseling process
  • Maintain frequent communication with therapists at the practice, and build an understanding of different therapists’ specialization areas, preferences, and therapeutic approaches
  • Provide assistance to clients when needed regarding billing-related questions and issues
  • Work effectively as an autonomous worker as well as part of a collaborative scheduling and intake team
  • Willing to adapt to new workflows and systems to effectively meet needs in a continuously changing environment
  • Comfort working with multiple software applications at a time is essential (CRM system, EMR system, virtual phone system, Google and cloud-based spreadsheets, and more)
  • You must be a highly effective and personable communicator able to diligently coordinate details with both clients and therapists
  • You must be extremely organized with the ability to problem-solve, prioritize, and handle multiple tasks with high attention to detail

Who Does Well in This Role

People who call a counseling practice are often nervous about reaching out at all, and the person who handles that first conversation well is frequently the reason someone books a session. The coordinators who do well here are organized enough to hold a full call queue and several software systems at once, and warm enough that a caller feels looked after. Prior customer service or sales work helps. So does an interest in the mental health field, and we give preference to applicants who have one.
